What I collect and why
| Information | Why I use it | Lawful basis |
|---|---|---|
| Name, company, email and message from the contact form or email | To reply to your enquiry and arrange a call | Legitimate interests; steps before a contract |
| Client contact details, contracts and invoices | To deliver services, invoice and keep business records | Contract; legal obligation (tax records) |
| Business contact details of people I may work with (name, job title, work email, company) | To contact businesses about services that may be relevant to them | Legitimate interests |
| Website usage statistics | To see which pages are useful and improve the site | Consent (only if you accept analytics cookies) |
Business contact details come from you, from public sources such as company websites and LinkedIn, and from business data providers. Every email I send includes an easy way to opt out, and I will stop straight away if you ask.
Working on behalf of clients
When I work inside a client's business, I handle their customer and prospect data on their instructions, using their systems where possible. In that case the client is the data controller and their privacy notice applies. I act under a written data processing agreement and return or delete the data when the work ends.
Who I share it with
I never sell your information. I only share it with trusted providers who help me run the business, such as my accountant, email and file storage, website hosting and customer records software: Microsoft 365 (email and file storage), HubSpot (customer records and email marketing) and Krystal (website hosting). Some providers may store data outside the UK. Where they do, I make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or a UK adequacy decision.
How long I keep it
- Enquiries that don't lead to work: 2 years from last contact
- Client records, contracts and invoices: 6 years after the end of the tax year they relate to, as HMRC requires
- Business prospect details: 2 years from last contact, or until you opt out
- Opt-out requests: kept indefinitely, so I don't contact you again
Your rights
You can ask me to show you the information I hold about you, correct it, delete it, limit how I use it, or stop using it for marketing. You can also object to any use based on legitimate interests and withdraw consent at any time. Email web@tracey-adams.co.uk and I'll respond within one month.
If you're unhappy with how I've handled your information, please tell me first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

I'll update this page if anything changes, and the date at the top will show when it was last reviewed.
